Each year, the Academy awards the Rome Prize to a select group of artists and scholars who are invited to live and work in a dynamic international community in the heart of Rome. To support the work of these Fellows, the Academy also hosts programming in Rome, New York, and around the United States.

Senior Manager of Development, Special Events

The Senior Manager of Development, Special Events will ensure the seamless execution of major events for the American Academy in Rome, including the Rome and New York Galas, as well as the Rome Prize Ceremony and cultivation events in both cities. The incumbent will help set goals, and develop strategies to increase event revenue and visibility. The Senior Manager of Development, Special Events reports to the Vice President for Development.

The Senior Manager is a member of the Development team in New York and works in close coordination with Development staff in Rome, the Academy’s external events consultant(s), and with volunteer event leadership and trustees.


A. Fundraising (approximately 50%)

  • Working with the Vice President for Development and institutional leadership, develop and implement strategies to meet and exceed revenue goals for the two annual Galas
  • Manage the process of securing Gala leadership, honorees, and award presenters and act as institutional liaison for these key players
  • Coordinate event committee meetings, including the preparation of agendas, materials, and reports
  • Manage the solicitation of event sponsors, including researching and identifying prospects, preparing relevant materials and proposals, organizing meetings, and drafting and sending correspondence
  • Coordinate the acknowledgement and recognition of honorees and event chairs, committee members, honorees, and event participants
  • Track and manage event tickets and donations and follow up with invoicing as needed
  • Maintain all relevant event and donor-related documents, records, and files and ensure that necessary Raiser’s Edge records are updated
  • Perform other fundraising-related tasks, as needed

B. Event coordination and production (approximately 50%)

  • Oversee all aspects of the two Galas, the Rome Prize Ceremony, and other special events including planning, organizing, coordinating, and executing all timelines, logistics, production, and budgets
  • Develop, enforce, and adhere to long-lead timelines for event planning
  • Manage event budgets, including planning, monitoring, and tracking expenses, reviewing and coding invoices, and processing invoices for payment
  • Coordinate all aspects of event-related printed and digital materials, including but not limited to save the dates, invitations, mailings, event programs, e-communications, and social media
  • Work closely with the Event Consultant (for NY Gala and Rome Galas) and Rome Staff (for Rome Gala) to produce and execute the Gala events via vendor management, venue coordination, staffing, and run of show. This may include: (i) researching and managing event venues and catering, reviewing and negotiating contracts, and serving as liaison; and (ii) coordinating procurement of all event materials, equipment, services, and supplies, including flowers, rentals, and A/V
  • Other event coordination and production duties as needed and assigned


The Senior Manager directly manages the part-time Development Officer based in the Rome office and the Event Consultant(s) and provides event-related direction to the External Affairs Officer in Rome.

Minimum Qualifications and Education

  • Bachelor’s degree in a related field is required
  • Seven+ years of experience managing special events for nonprofit organizations, preferably arts, cultural, or academic organizations
  • Demonstrated ability to meet fundraising goals and a track record of closing event-related gifts and sponsorships
  • A familiarity with New York City fundraising event culture and with producing events internationally is beneficial
  • Exceptional interpersonal and communication skills
  • Excellent judgment and discretion in handling confidential and sensitive information
  • Proven strength in time management, taking initiative, thinking and learning quickly, juggling multiple duties and tasks, and meeting deadlines in a fast-paced environment
  • Ability to balance working independently with working collaboratively as part of a team
  • Strong organizational skills, accuracy, and meticulous attention to detail


  • Ability to set up and operate professional audio and/or video recording equipment and/software
  • High level of proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Access, as well as Google applications, including Gmail, Google Calendar, and Google Drive
  • High aptitude for database and design applications/software, especially Raiser’s Edge and Adobe Creative Suite (Acrobat, Illustrator, InDesign, and Photoshop); ability to learn and develop proficiency in new applications quickly
  • Excellent judgment and discretion in handling confidential and sensitive information
  • Ability to work occasional evenings and weekends for events and programs
  • Italian language proficiency helpful but not required

Director of Communications

The American Academy in Rome (AAR) is a leading American overseas center that supports innovative artists, writers, and scholars. Our center strives to provide space for independent studies and advanced research in fine arts and humanities. AAR is currently seeking a dynamic, detail-oriented, and highly skilled Director of Communications.

The Director of Communications leader for AAR plays a key role in driving internal and external corporate messages and communications strategy, overseeing global corporate reputation and equity-building campaigns, crisis and issues management, media relations and global corporate communications including annual editorial calendar, employee and internal communications, executive communications (CEO, Leadership Team).

The position will consistently articulate the mission of AAR and ensure that the institute is viewed positively externally and internally. The director will support AAR’s communications, website, and public relations messaging and will report to the President and Chief Executive Officer (CEO). The director will work, and cross collaborate with the President and CEO, the Vice Presidents of Development, the Director in Rome, and the Rome communications team.

The ideal candidate for this position will display exemplary writing skills and exemplify a consistency in tone and content on the institute’s website, in all printed works, and materials. The director will possess strong proofreading skills, the ability to develop scripts, and has a high-level knowledge of trending academic and cultural topics of conversation. Key Responsibilities

  • Develop, implement, and evaluate the annual communications plan across the organization
  • Support the President in speechwriting, scripting for both internal and external presentations, and all aspects related to building institutional profile
  • Work closely with the VP for Development for promotional pieces and messaging and interacts with Fellows and Residents to provide content for press and programming
  • Oversee US based programs and external events
  • Create a brand/marketing/public relations strategy that will allow AAR executives and board leadership to cultivate and enhance meaningful relationships with targeted donors
  • Lead the generation of online content that engages audience segments and leads to measurable action. Decide who, where, and when to disseminate
  • Put communications vehicles in place to create momentum and awareness as well as to test the effectiveness of communications activities
  • Manage social media contacts
  • Manage the development, distribution, and maintenance of all print and electronic collateral including, but not limited to, newsletters, brochures, and AAR’s website
  • Mentor and lead direct report(s) for AAR’s website administration and coordination
  • Coordinate webpage maintenance-ensure that new and consistent information (articles, links, stories, and events) is posted regularly
  • Track and measure the level of engagement within the network over time


  • Bachelor’s degree in a related field is required
  • Master’s degree in a related field is helpful
  • 7–10 years’ previous experience in a communications role
  • Highly collaborative style; experience developing and implementing communications strategies
  • Excellent writing/editing and verbal communication skills
  • A strong track record as an implementer who thrives on managing a variety of key initiatives concurrently
  • Sincere commitment to work collaboratively with all constituent groups, including staff, board members, volunteers, donors, program participants, and other supporters
  • Self-starter, able to work independently, and entrepreneurial; enjoys creating and implementing new initiatives


  • Experience with Microsoft Office Suite is required
  • Experience with Adobe Creative Suite is preferred
  • Must be highly organized, and detail-oriented
  • Ability to excel in a fast-paced work environment and meet aggressive deadlines
  • Ability to prioritize and follow through effectively; and deliver work in a timely manner
  • Work well under pressure and coordinate multiple assignments
